About the client

Vanlav is a confectionery chain operating in Dagestan. The company is actively developing and has a large number of employees involved in different departments: production, retail outlets, administrative departments and support services.

To manage internal processes the company already used Bitrix24, but as the team grew there was a need to structure and automate key HR processes.

Task

The main goal of the project was to automate HR management processes inside Bitrix24 and make them transparent, scalable and convenient for both employees and management.

The requirements were to:

The problem before implementation

Although Bitrix24 was actively used, some HR processes were handled manually or lacked a clear structure.

This led to the following difficulties:

• no single standardized procedure for HR paperwork;

• approval stages were managed manually;

• limited visibility into process progress;

• processes were hard to scale as the company grew.

Solving these issues required a flexible automation system that could easily adapt to changes within the company.

Solution

As part of the project, we built a system of automated HR processes inside Bitrix24 based on smart processes.

When designing the system, we chose an architecture in which:

• employees launch the HR processes they need through Bitrix24;

• all subsequent stages run fully automatically;

• the system keeps processes transparent for all participants.

Smart processes made it possible to create a flexible, visually clear process structure that is easy to configure and develop further.

What we did

The following solutions were implemented as part of the project:

• leave request processes for employees;

• an employee onboarding process;

• an employee offboarding process;

• all processes built on Bitrix24 smart processes;

• full automation of stage transitions with no manual moving of items between stages;

• a transparent approval system;

• the ability to flexibly refine and scale processes.

Smart processes made the system clear for employees and convenient to administer going forward.

Outcome

By optimizing its processes in Bitrix24, the Vanlav pastry shop chain gained a fully automated HR management system.

Key project results:

• onboarding, offboarding and leave processes are automated;

• manual management of process stages is eliminated;

• process progress is fully transparent;

• the system is scalable and easy to manage;

• changes and process improvements can be made quickly as the company develops.

As a result, the company now has a convenient and flexible HR process management system that reduces the administrative workload and makes work within the organization more transparent.
